Who we are
This website is run by The Q Group Studio Inc. ("we", "us"), a company registered in the Philippines. We follow the Data Privacy Act of 2012 (Republic Act No. 10173) and the rules of the National Privacy Commission.
This policy covers qgroup.dev, our forms, our emails and our client tools (client portal, project tracker, support, reviews and online payments).
What we collect
We only collect what we need to reply to you and do the work you ask for.
Information you give us
- Contact and quote forms: your name, email address, business or community name (optional), the service you choose, your answers and your message.
- Client support: your name, the email address used for your project, and the details of your request.
- Reviews: your name, business or community name (optional), rating and review.
- Project tracker and client portal: your project code and email address, to show you your projects and invoices.
- Project chats: the messages you send to our team in the client portal.
- Invoices and payments: your name, email address, business name, what you were billed for and payment records (amount, date, payment reference and status).
Information collected automatically
- Basic technical data: your IP address and browser details, used briefly to keep the website secure and to stop spam and abuse.
We never see your card details. Card and PayPal payments are handled entirely by PayPal in its own secure window.
How we use it
- To reply to your messages and prepare your quote or proposal.
- To do the work you hire us for, share progress and provide support.
- To send invoices, payment reminders and receipts, and to confirm payments.
- To publish reviews you submit, after we check them.
- To keep our website and services secure, and to meet our legal and tax duties.
We use your information because you asked us to (consent), because we need it to provide a service to you (contract), or because the law requires it. We do not sell your personal information, and we do not use it for advertising.
Who we share it with
We share information only with trusted providers that help us run our services, and only what each one needs:
- Cloudflare: website hosting, security and our database.
- Resend: sending our emails (confirmations, invoices and receipts).
- Zoho Mail: our business inbox, where your messages arrive.
- PayPal: online payments and automatic payments for recurring plans.
- Trustpilot: if we invite you to leave a public review after a payment.
- Domain registrars (such as Porkbun): only the name you search for when you use our domain search. If we register a domain for you, the registrar needs your contact details.
Some of these providers store data outside the Philippines. We use providers that protect personal data with security measures at least as strong as those we use. We may also share information if the law requires it.
Cookies and your browser
- No tracking or advertising cookies. We do not use analytics or ad trackers on this website.
- Free quote tool: your answers are saved in your own browser, so you can continue later. They are sent to us only when you submit your request.
- Site Seeing (website preview): your choices and the logo you add are kept only in your own browser and are deleted automatically after 2 hours. Your logo is never uploaded to us. If you send your design with a quote request, we receive your choices (pages, colors, style and features), but not your logo.
- Sign-in cookies: the client portal uses one cookie to keep you signed in, and our staff dashboard uses one for our team. They are only used for signing in.
How long we keep it
- Inquiries that do not become projects: up to 2 years, then deleted.
- Project, client, chat and support records: while we work together, and up to 5 years after the project ends.
- Invoices and payment records: as long as Philippine tax and accounting laws require.
- Reviews: until you ask us to remove them.
How we protect it
Our website uses secure, encrypted connections (HTTPS). Access to client information is limited to team members who need it, and our dashboard uses one-time email sign-in codes. No system is 100% secure, but we take reasonable steps to protect your information and will tell you and the National Privacy Commission if a serious breach affects you.
Your rights
Under the Data Privacy Act, you have the right to:
- Be informed about how your information is used.
- Access the information we have about you, and get a copy.
- Correct information that is wrong or incomplete.
- Object to processing, or withdraw your consent.
- Ask us to delete or block your information, when the law allows.
- File a complaint with the National Privacy Commission (privacy.gov.ph).
To use any of these rights, contact us. We will reply within 15 days.
Children
Our services are for adults and businesses. If you are under 18, please ask a parent or guardian to contact us for you. Gaming services are only for account owners who are 18 or older, or who have permission from a parent or guardian.
Changes to this policy
We may update this policy when our services change. The date at the top shows the latest version. Important changes will also be announced on this page.
